Registering for an event

This website allows you to register for an event. Your personal data is then collected and processed for the purposes described below. The necessary processing operations, such as the event itself, fall under the responsibility of the organiser, who acts as data controller.

1. What data do we collect?

• The data needed to organise the event and ensure that it runs smoothly: gender (for the appropriate form of address), surname, first name, date of birth, postal address, email address, telephone number and registration number of the participating vehicle or vehicles.
• Photos, images and videos that may be published in connection with the event.
• Audio recordings of contributions made by registered participants during the event.

2. Purposes

This data is used to manage and organise the event, in particular for:

• managing contact lists, invitations and participants;
• follow-up activities after the event;
• publishing photos, images and videos;
• presentations;
• publication on the internet.

Participants who do not wish to be photographed or filmed, or to have their image published in any medium whatsoever, may object explicitly and in writing.

This processing is necessary for the administration and organisation of events, in accordance with Regulation (EU) 2016/679 (GDPR).

3. Who has access to your data?

Certain data (participant lists with surname, first name, photos and videos) may be published on the internet, but is only accessible to other participants registered for the same event. If you do not agree to this, please inform the data controller explicitly and in writing.

4. How do we protect your data?

The data collected and the information relating to an event are stored on SiteGround’s servers, which apply their own security measures for this type of service.

5. How can you access, change or delete your data?

To find out what data is held about you, or to have it changed, corrected or deleted, contact the data controller at info@4ks.be. A request for deletion means that we will no longer be able to contact you. You may object to the processing of your data in the same way.

6. Retention period

Your data forms part of a contact list whose sole purpose is to inform you about future events. Photos and videos are kept for as long as the organiser remains active.

7. Forms on this website

Data sent via the contact form or the “Be among the first to know” form is used solely to respond to your enquiry or to keep you informed about the rally. It is never sold or passed on to third parties.

8. Cookies and external content

This website does not use advertising tracking cookies. Fonts are hosted on our own servers. The Vimeo video only loads after you click on it, and only then can Vimeo set cookies.
